This Privacy Policy explains how Fire Pit Ranch collects, uses, and protects information when you request access to or use The 300 member portal (the “Portal”).

Information we collect

• Account and profile information: your name, email address, phone number, role, cohort, and information you choose to add to your profile.
• Portal activity: content viewed, progress, reactions, event activity, notification preferences, and sign-in or device information needed to operate and secure the Portal.
• Communications and submissions: messages with coaches or staff, access-request notes, reports, photos, videos, and other material you submit.
• Technical information: browser and device details, IP-derived security information, cookies, and push-notification subscription data.

How we use information

We use this information to review access requests; create and secure accounts; provide Portal content, coaching, events, messaging, and notifications; respond to questions and safety concerns; understand and improve the Portal; and meet legal obligations.

How we share information

We do not sell personal information. We may share it with authorized Fire Pit Ranch staff and coaches who need it to run the program, vendors that host or support the Portal, and authorities or other parties when reasonably necessary to comply with law or protect a person’s safety or rights. Portal posts or profile details may also be visible to the member audience indicated when they are shared.

Messages, safety, and moderation

Portal communications are not guaranteed to be confidential. Authorized Fire Pit Ranch staff may access or preserve messages and submitted content for program administration, safeguarding, moderation, support, or legal compliance.

Retention and security

We retain information for as long as reasonably needed to provide the Portal, maintain program and safety records, resolve disputes, and comply with law. We use reasonable administrative and technical safeguards, but no online service can guarantee absolute security.

Your choices

You may update certain profile details and notification settings in the Portal. You may also ask us to access, correct, or delete your information, subject to legal, safety, and recordkeeping requirements. Browser settings can limit cookies or notifications, although some Portal features may then not work.

Participants under 18

The Portal is limited to approved participants. When consent from a parent or guardian is required by law or Fire Pit Ranch policy, the participant must have that authorization before using the Portal.

Policy changes

We may update this policy as the Portal changes. If an update materially changes how we handle information, we will provide an appropriate notice and request renewed consent when required.
